Position Summary:
Fluvanna County is recruiting for a full-time Paralegal/Legal Assistant to provide complex legal, clerical, and administrative support to the Office of the Commonwealth’s Attorney. This position plays a critical role in supporting prosecution case management, preparing legal and court documents, organizing discovery and case files, communicating with criminal justice partners, and maintaining confidential records and information.

This is an in-person position. Physical presence on the job is required, as the essential functions and responsibilities of the position are not suited to remote work.

What You’ll Do — Key Responsibilities:

  • Organize, maintain, and manage prosecution case files, records, and related documents.
  • Prepare court documents, including jury instructions, indictments, motions, orders, subpoenas, notices, discovery correspondence, and other legal correspondence.
  • Assist with case preparation, docket support, discovery organization, and document filing.
  • Handle confidential information in accordance with statutory requirements and office procedures.
  • Support the proper handling of sensitive case materials, victim/witness information, law enforcement records, and other restricted information.
  • Operate VCIN and related criminal justice information systems, as authorized and in accordance with applicable rules and security requirements.
  • Coordinate and communicate with courts, law enforcement agencies, defense counsel, victims, witnesses, and other criminal justice partners as directed.
  • Provide backup administrative support, including answering phones, greeting visitors, processing mail, scheduling, scanning, copying, and filing.
  • Prepare correspondence, forms, reports, and other documents using Microsoft Office and other office systems.
  • Assist with records retention, public records, and departmental information management requirements.
  • Conduct limited legal or factual research, as requested.
  • Provide assistance to citizen inquiries.
  • Perform other related tasks as assigned.

Required Knowledge, Skills, and Abilities:

  • Thorough knowledge of office practices, procedures, and equipment.
  • General knowledge of legal office procedures, court terminology, and the functions and policies of the court system.
  • Knowledge of confidentiality obligations, public records, records retention, and criminal justice information security requirements.
  • Skill in preparing, proofreading, organizing, and maintaining legal documents and correspondence.
  • Strong analytical, organizational, and problem-solving skills.
  • Ability to manage deadlines, handle multiple priorities, and work under pressure with minimal supervision.
  • Excellent verbal and written communication skills.
  • Professional demeanor and the ability to exercise tact, diplomacy, discretion, and sound judgment.
  • Proficiency with Microsoft Office and ability to learn case management, court, and criminal justice information systems.
  • Ability to act with integrity, professionalism, and confidentiality.
  • Ability to establish and maintain effective working relationships with coworkers, court officials, law enforcement agencies, criminal justice partners, and the general public.

Minimum Qualifications:

  • Associate degree in paralegal studies, legal studies, business administration, office management, public administration, or a related field; and
  • Considerable experience in legal administrative support, office management, or a related field; or
  • An equivalent combination of education and experience.

Preferred Qualifications:

  • Undergraduate degree in a related field.
  • Paralegal certificate or prior paralegal/legal assistant experience.
  • Prior experience in a prosecutor’s office, criminal law firm, court system, or criminal justice setting.
  • VCIN certification or experience operating VCIN or comparable criminal justice information systems.

Working Conditions & Physical Requirements:

This is sedentary work requiring the exertion of up to 10 pounds of force occasionally and a negligible amount of force frequently or constantly to move objects. Work requires reaching, fingering, repetitive motions, vocal communication, hearing, and visual acuity for preparing and analyzing written or computer data, determining accuracy and thoroughness of work, and observing general surroundings and activities.

Reports to: Commonwealth’s Attorney
Salary is commensurate with experience and qualifications, within the approved pay range.

Pay Range: $25.01 - $28.76 (per hour)
